Variable Manager – Viewing Variables

To view variables, go to Variable Manager. (You must have appropriate permissions).

  • You may filter by variable type by using the ‘Showing’ dropdown box, and you can search for variables by using the search box. Type in this search box and press enter (or click the search icon) and the result list will update.
  • Sort the variables alphabetically by columns in ascending or descending order by clicking the up/down arrows next to the column heading.
  • Click the variable name of the variable to view more information about it…
    • On the right, you’ll see the variable’s Name, Label and Description (if used).
    • From this page, you can click the Data bar to see all of the values generated by this variable.
    • Click Variable Settings for more detail regarding its format. In addition:
      • For Scores, you can also view its statistical method. These are options used for Transformed and Calculated Scores.
      • For Descriptives, you can also view options for specifying:
        • Which Role(s) can edit
        • Whether to encrypt
        • Whether to include this variable for in-processing
        • Whether this is the default variable for Profiles
        • Whether to auto-fill most recent values on import
      • For Ranks, you can view options for filtering by status type, and by Role or Team
      • For Evaluations, you can view more detail regarding its usage, such as its Type, Severity and (source) Module; you can also see whether it will be included in Objectives.
    • Click Advanced Settings for options such as Direction, Best/Worst values, whether or not to include in Objectives, Mapping, etc.
    • Click Statistics Settings to view details regarding how this variable is utilizing statistics. You can even expand the detail to view statistics by Role as well.
    • Click References to see:
      • Referenced By … this displays the Survey, Observation or other source that references this variable
      • References … other variables this variable is based on

 

There are several additional tools available to view and (for admin users) manage GideonSoft variables. In the ‘Tools’ drop down:

  • Process Variable Data … This will only be displayed if Variable Data Calculation Mode is set to Manual. The process will run and complete, and a result will be displayed only if there is an error.
  • Mark all variables for recalculation … All variables will be processed whenever the next process initiates.
  • Import Stats from another Instance … Select an Instance from the drop down, and click Import.
  • Enter score variable notes … For any score variable, you can enter a note that might provide context for variances in data specific to this Instance. All score variables will be listed, along with a Notes field. Enter a note, and then you can Save all at once.
  • Bulk Variable Editor … This allows you to make basic changes to the score variables in the Instance. All score variables will be listed, along with Name, Label, Description, Notes, Format and ‘Include in Stats?’ fields. Enter your changes, and then you can Save all at once.
  • Export Variable Index … This exports either Score or Evaluation Variable indexes to a CSV. These can be referenced for review or comparison for another Instance configuration.
  • View Statistics … This displays statistical data generated by all score variables designated to be included in statistics. Click ‘Export to CSV’ to easily save all results to a file.
  • Import Statistics Spreadsheet … Upload a Excel file to import score definitions that include statistics. Click ‘Download the statistics spreadsheet’ to use as a template.
  • Export Stats to CSV … This exports statistical data generated by all score variables designated to be included in statistics to a CSV file.
  • Import Statistics Backup (XML) … This imports statistical data from an XML file.
  • Export Stats Backup to XML … This exports statistical data generated by all score variables designated to be included in statistics to an XML file.
