Configuring People Descriptives

From the Module (or Instance) homepage, select “People” … “Manage” … “Manage People Descriptives.”

 

To create a new descriptive for this Module/Instance, select “New Descriptive”. You can either add an existing descriptive (exists at the organization level) or create a new one. There is no limit on the number of descriptives you can add; it’s best to start with pieces of information your organization is already tracking. 

  • Select Pre-existing Variable … Select a descriptive from the drop down list.
  • Add New Variable … If adding a new descriptive, type in the name of the descriptive (e.g. Age).
  • (Optional) Description … provide additional information about the descriptive.

 

Variable Settings

  • Format … Select text, numeric, date, date/time, or time.
  • Profile quick-edit for the following roles … Select one or more Role(s) to enable them to edit this field on profiles. If none are selected, the field can be displayed, but it will not function as a quick edit field.
  • Encrypt variable … Check ‘Encrypted’ if you want this item to be encrypted in the database.
  • Include this variable in summaries … This will make the variable available for the Homepage ‘Show Information’ list, as a column on the People page, and for Roster reports & exports. (Default is off. Limiting the number of variables with this property enabled will improve performance on the home page and people page.)
  • Include this variable for in-processing … Check to display this as a field during the new user creation wizard.
  • Allow users to edit their own values … Default is off.
  • Auto-fill most recent values on import … When a new Instance is created, the most recent values stored for this descriptive will automatically be imported and saved for the people in that instance
  • Auto-fill most recent values after saving … If the variable has the same level of encryption, values will import/save immediately.

 

Additional Format Options

These depend upon the format selected above. There are similarities, but each format has unique settings.

 

  • Text Options
      • Style … Single Line (short) or Multi-Line (long)
      • Validation Type … None, Email, Phone, Zip code or URL
      • Show Picklist? … Enter items separated by commas, semi-colons or line breaks. This appears on the user’s profile in the Instance Data section.
      • Limit Value Length?  … Enter the maximum length allowed.
  • Number Field Options
      • Show Picklist? … Enter items separated by commas, semi-colons or line breaks. This appears on the user’s profile in the Instance Data section.
      • Decimal places  … Enter/set a number.
      • Minimum value … Sets a lower boundary value.
      • Maximum value … Set a maximum boundary value.
  • Date Field Options
    • Date values … Select ‘Any Date’, ‘Future Dates’ or ‘Past Dates’.

 

Click Add (or Save if editing).
