Folders and Events

Next, you can add a Folder or Event.

  • A Folder can be used to organize subsets of a container. Folders have no date or time associated with them. (e.g. “Off Season Training”, “Spring Football”, “Summer”; or maybe “Week 1-9”, “Week 10-15”, “Week 16-20”).
  • An Event is what actually takes place, so it will include start and end dates, as well as quite a few other options. (e.g. “Strength Training” or “Practice”).

To add a Folder, click “+New Folder” and enter a name.

  • The Path (or folder/container location) of the folder can be changed (i.e. moved to a different Folder or Event Container.
  • Color can be assigned, and used to code items on the Calendar.

To add an Event, click “+New Event” and enter a name.

  • The Path (or folder/container location) can be changed.
  • Select Start date and time, and End date and time. If this is an all day event, the “All Day” toggle can be selected and times will be unavailable.
  • Event Recurrence … as many calendars allow, GideonSoft allows an event to be repeated:
    Daily, weekly or monthly

    • Specific days of the week
    • Until a specific end date, or until a specific number of occurrences have taken place
  • Google Calendar … this event can also be added to your Google Calendar, if that makes it more convenient for your organization.
  • Event Options … additional options to help fine tune and differentiate your schedule. None of these are required:
    • Who will oversee this event? … a specific instructor can be identified
    • Target Role … select individuals assigned to this Role
    • Hide event from People in Role … prevents people in the Target Role from seeing this event on their calendar
    • Event Color
    • Event Type
      • Mastery … An event where the participants are learning, where more time will be needed, intensity will be lower and mistakes will occur.
      • Performance … The actual competition, job, or designed simulation. This event has increased intensity with shorter volume, and does not tolerate mistakes.
      • Both
    • Intensity … What intensity level is expected? This anticipated level can help maximize the planned events and activities for the day or week, in order to avoid planning too much or too little workload (especially when Volume is taken into account).
      • GideonSoft uses a scale of 0% to 100%, in increments of 5.
      • This value is displayed on the Calendar with varying colors, depending on the value.
    • Notes … Any additional thoughts or comments for instructors or students.
    • Tags … Tagging events can enable analysis of event planning and effectiveness. Separate each one with commas, semi-colons or line breaks.
    • Activities … What takes place within an event.
      • Category Filter … This provides a way to categorize activities, if necessary. An example could be “Upper body”.
      • Name … of the activity. If the event is “Strength Training”, one activity could be “Bench press”.
      • Volume (in minutes) … this value is used to calculate workload (especially helpful when paired with Intensity).

Once an Event is created and saved, you can add References and Model Links.

  • References & Links … this section provides the critical connection between scheduled events & activities and the data input/output in GideonSoft.
  • References … Essentially means measurement sources (i.e. use this data collection method for input). Multiple references can be added for a single event. To add a Reference:
    • Select a Reference Type from the first dropdown, used to select Survey, Observation, Score Variable, or Other
    • Select a Reference item from the second dropdown, which changes according to the selected Reference Type.
    • Notes (optional) … Can be added for any Reference Type; strongly recommended if Other is selected.
  • Model Links … These represent key performance indicators (KPIs; i.e. use this ‘data point’ for output/tracking results). To add a Link, select what type of link to add…
    • Mastery (Model Based) … To select an item from the Model [see Model Builder / Progress Report]
    • Performance (Score Based) … To select a score variable
    • Click ‘Save’.
