Resetting Passwords and System Access

Passwords are required to sign into GideonSoft. No one is able to see anyone else’s password, but anyone can reset their own, and administrators with Overseer permissions (or higher) can reset others’ passwords.

 

System access is an additional security measure that determines whether users can access GideonSoft. When an Instance closes, or a user has not logged in to the system in a certain number of days (depending on your security settings), the user will automatically become locked out. If a person leaves the organization, or for whatever reason should no longer have access to the GideonSoft system, their access can be manually restricted. Restricting access prevents a person from logging in via the web or mobile device, but preserves any data recorded by or about that person. Only administrators with Overseer permissions (or higher) can restrict or allow someone’s access to GideonSoft.

Resetting your own Password

To reset your own password…

  • Go to your own Profile.
  • Click the gear icon next to your name.
  • Click on the password field. It will expand to three fields: Current password, New password and Confirm new password. Complete all three.
  • When done, click on the green check button.

 

Resetting someone else’s Password

To reset someone else’s password for them…

  • Go to their Profile.
  • Click the gear icon next to their name.
  • Scroll down to the “Tools” section, and click Reset Password. It will display two fields: New Password and Confirm New Password. Complete both.
  • When done, click on the green check button.

 

Changing someone’s GideonSoft access

To manually change a person’s access to GideonSoft…

  • Go to their Profile.
  • Click the gear icon next to their name.
  • Scroll down to the “Tools” section.
  • Underneath the password change area, you will see either “This user should be able to access GideonSoft.” or “This user should not be able to access GideonSoft.” Click on should/should not and a drop down will be displayed.
  • Select the desired access option.
  • Click the green check button when done.

 

Bulk Reset of User Passwords or Access

With appropriate permissions, passwords for multiple user accounts within an Instance can be reset at the same time, using a spreadsheet.

  • When editing a spreadsheet, just drop in a Password Reset item and publish.
  • Open the spreadsheet as though you were going to enter or edit data in its fields.
  • Enter the desired new password(s) in the Password Reset column for any user account you wish to reset. Any row(s) left empty will not be changed.
  • Click Save.
