The Feedback Tool 5: Configuring Content Rules

Once the Content Library has been populated, Content Rules allows you to integrate this feedback into other areas of GideonSoft, and automate the process of getting it into the hands of the individual(s) being evaluated. You can create a set of Rules (i.e., Rulesets) that defines what group to focus on, what scores to watch, and then link to the appropriate items in the Content Library; thus creating a kind of flagging system.

 

You first create a Ruleset, and then add one or more Rules to the Ruleset.

 

Begin at the Module (or Instance) homepage, and click the “Settings” button. Under the section “Feedback Tool,” click “Content Rules”.

 

Any existing Rulesets will be displayed:

You can filter the list of Rulesets by typing in the Filter rulesets search box, and the list will filter automatically. You may also sort the Rulesets by clicking the “Sort by…” drop down.

  • To edit an existing Ruleset, click the dropdown arrow, click “Edit.”, or click directly on the name of the Ruleset.
  • To delete an existing Ruleset, click the dropdown arrow, click “Remove.”
  • To create a new Ruleset:
    • Enter a Name … should be indicative of the Ruleset’s purpose.
    • Select Role … identifies who this Ruleset will target.
      • Then select at least one type of Role member to include: People, Objects, Role Objects and/or Team Objects
    • Enter a Weight … the weight applied to any evaluations created by this Ruleset. A weight may be used to rank order Rulesets.
    • Active …
      • Off … turns off or disables the Rule.
      • On … the Rule will be applied when clicking Process Rules (or is included when variables and other data is automatically processed), and will create an evaluation with that feedback text.
    • Variable Name Override (optional) …. This will override the automatically generated variable name.
    • Add Category Descriptives … This will add the matching feedback categories added as evaluation descriptives. 
    • Click “Save” once complete.

 

Once that information has been entered, an “Add New Rule” button will be displayed under those parameters.

 

Note: To add a Feedback rule, one or more score variables should be created, though you can always use the Quick Variable Creator to add a new one as needed.

 

To add a new Rule:

  • Click “Add New Rule”:
    • Connector …  if this is the first rule in the set, only one option will be displayed (“IF”); from the 2nd rule on, you can select “AND”, “OR” or “ELSE.” Depending on your selection, the options below will change.
    • Variable … Select a score to reference (e.g. to monitor) from the drop down. If you don’t find the one you need, and would like to create a new variable, click the ‘Create New Variable’ button. See Quick Variable Creator
    • Operator … select a logical operator:
      • Greater than (>)
      • Less than (<)
      • Equal to (=)
      • Not equal to (<>)
      • Greater than or equal to (>=)
      • Less than or equal to (<=)
    • Value … This sets a threshold for the selected score to be compared to. 
      • Constant Value … enter a value to set the threshold.
      • Dynamic Value … Select one or more variables from the drop down. If you select more than one variable, you must also determine the Summary function from that drop down:
        • Average
        • Sum
        • Min
        • Max
        • Standard Deviation
        • Top 3 value
        • Top 5 value
        • Bottom 3 value
        • Bottom 5 value
    • Action … choose to apply feedback or reset notifications if the conditions are met.
    • Category A, Category B, Category C … Select categories from these drop downs to find the feedback item(s) to apply.
    • Feedback to be added if this value evaluates to TRUE … displays what feedback will be recorded.
    • (Optional) Override Feedback Text … Check this box to edit the feedback that has been configured for this Rule.
      • Begin typing to enter additional text.
      • You can also click ‘+Add’ to select a dynamic text value that will be inserted when the rule is executed. If you ‘Constant/Dynamic Value’ is inserted the threshold value referenced in the rule will be displayed.
      • To revert back to the original text, deselect “Override Feedback Text.”  You will be asked to confirm the reversal by clicking “Proceed.”
    • Click “Save”.
    • Conceptually, you build a Rule by setting conditions on the left; then on the right, identify what feedback items to be applied if the conditions are met.

 

 

To edit an existing Rule:

  • Click the pencil icon next to that Rule.
  • To set up notifications on an existing Rule, click the envelope icon next to that Rule. This notifies people via the Notifications page within GideonSoft.
    • In the drop down, select the Role(s) and/or individuals who should receive a notification when the Rule evaluates to TRUE.
    • As a separate option, a notification can be sent to the person being evaluated by checking “Send a notification to the person being evaluated by the Rule.”

 

To delete an existing Rule, click the X by that Rule. (If there is only one Rule in the Ruleset, you can delete the entire Ruleset, so there will be no X).

 

To order Rules, click the blue up/down arrow by that Rule and drag to the desired location. The order of rules can affect the action taken by the ruleset, since the Rules are processed top to bottom. (If there is only one Rule in the Ruleset, there will be no up/down arrow).

Notes:

  • The Feedback Library (Categories and Items) is all stored at the Module level, but it is actually implemented at the Instance level (via Surveys, Reports, etc.).
  • Content Rulesets are stored at the Module or Instance level in which they are created.
