Managing People (The People Page)

The Instance People page lists everyone who is a member of the current Instance, and allows some basic changes to be made, such as editing a person’s name or email, or changing Role or Status assignments.

 

Filter and sort the list and customize the display:

  • Use the blue ‘Filter by role’ and ‘Filter by status’ dropdowns (top left).
  • Type in the Search field (toward the top right).
  • Arrange and resize columns (drag and drop).
  • Use the ‘Column Chooser’ icon at the top of the table to choose which columns to see. The only required column to show is Identifier, which is on the left in a fixed format. This allows you to scroll horizontally and still see the person’s identifier.
  • Use the ‘Toggle column search’ icon, and search/filter by column.
  • Use the ‘Toggle grouping panel’ icon, and then drag and drop one or more column headers to group people in the list.

 

Actions Available

Once the list is filtered as desired, each person’s row includes a small thumbnail and status color. If you roll your pointer over the Identifier field, an enlarged thumbnail with full status label is displayed. From here, several actions are available:

  • To view the person’s profile, click on the Identifier, or the person icon on the right.
  • To edit account or Instance details for this person, click the pencil icon on the right. This includes first and last name, username, email, system access, reset password, status, Role(s), and other descriptives that are made available.
  • To delete this person, click the X icon on the right.

 

When one or more people are selected, using the checkboxes on the left, a couple bulk actions become available. Under the Add People and Manage buttons, you’ll notice a “I want to” drop down appears with the following options:

  • Change Status … This opens an “Update Status” dialog, where you select a new status, and if desired, add a Tag and/or status note. Click Update to save changes.
  • Moved Selected … This opens a “Move People” dialog, where you can move the selected people to another location in the organization.
      • (Optional) Select New Status … before moving these people, you can change their status in the current location, as well as add a Tag and/or status note.
      • Choose Destination … Select the target Module.
          • If the target is a Performance Module, you must then select an Instance and one or more Role(s).
          • If the target is a Persistent Module, you must then select a Category.
          • Mapping Settings … Persistent Modules store people in a different format than what is typically stored in Performance Modules & Instances. When moving people from an Instance to a Persistent Module, you can map the current fields to any of the destination Persistent Module fields, including transferring scores and descriptives. Use the table below to map data from source fields into destination fields.
          • Click Move People when done. (this button will reflect how many people will be moved)
  • Clear Selections … This simply unchecks all selected people.
