Before you start collecting data on people, take some time and set up the information you want to collect. You can customize the standard set of fields as well as create unlimited custom fields to create your database. This form will be used for creating people manually as well as editing existing people.

 

  • The initial field list is 26 built-in fields, including basic contact & demographic information.
  • Fields can be grouped into 1 of 12 different groupings, which will organize them in the UI. There are a few built-in fields in each of the following groupings: Name, Contact, Demographics, Social Media, Location, and Personal Data.
  • Your organization may not collect data for all fields, so disabling unnecessary fields can make the user interface more manageable for input.
    • You can disable all fields except First & Last Name and Primary Email.
    • A disabled field will not be shown in the edit forms/surveys and will not be available to be shown in the people grid. The database will continue to store the values for the field, but it won’t be visible in the UI.
    • Disabling a field does not affect any data collected for it.
    • Disabled fields will appear at the end of the field list in grey.
  • You can reorder the fields by dragging the number circle and dropping the field in the new position.
  • To modify the properties of a field, click on the ellipsis icon on the right side.

 

Field Settings

All fields include customizable properties for Label, Description and Grouping, and can be required or optional. Each field also has either string or number options.

  • Label … Text displayed next to the field.
  • Description … Text displayed under the field, providing additional context.
  • Grouping … Determines how fields are grouped together when displayed. The options include:
    • Name
    • Location
    • Contact
    • Demographics
    • Social Media
    • Personal Data
    • Academics
    • Professional
    • Knowledge & Skills
    • Personal Interests
    • Custom … You can add an unlimited number of Custom Fields to collect either string, date or numeric data. The field setup for custom fields is very similar to built-in fields with a couple of exceptions…
      • The field name is also the label. They are not separate.
      • Custom Fields cannot be disabled. If you no longer want to capture a custom data point, you can remove it along with the data collected.
      • Everything else is the same. By default, it’s put into the Custom grouping, but that can be changed. If you move a custom field into a built-in grouping, for example, Name, the order in which it’s displayed is after any built-in field. If you add 2 fields into the name grouping, they’ll appear after the last built-in field and then get displayed in the order in which they appear in the custom field list.
  • Required … When required, the field label will display a red asterisk.

 

String Field Options

  • Style … Select either ‘Single Line (short)’ or ‘Multi-line (long)’.
  • Validation Type … Helps maintain clean, consistent data:
    • None
    • Email
    • Phone
    • Zip Code
    • Url
  • Show Picklist? … This also helps result in clean, consistent data. Enter items separated by commas, semi-colons or line breaks.
  • Limit Value Length? … Limits how many characters can be entered.

 

Number Field Options

    • Show Picklist? … This also helps result in clean, consistent data. Enter items separated by commas, semi-colons or line breaks.
    • Decimal Places … Allows people to enter more precise values if necessary.

At any time, you can click ‘Preview Form’ to see your work.

 

Click Done to return to the Module Settings page.
