Using Spreadsheets

Spreadsheets are not unlike Excel spreadsheets, so they allow you to input data in a tabular format. They can be used for administrative or demographic information, or one-time input of score data.

 

View/Edit the Data in a Spreadsheet

Click on the name of the spreadsheet, or click on the blue down arrow then select “Open.” This opens a spreadsheet view of the variables. You can edit any or all fields in this view with the exception of the column labeled “Identifiers” (and any other grayed out column).

  • Click on a “cell” in a column to edit that particular data field or variable. When you finish with that cell, hit <ENTER> or <TAB> on your keyboard, or select a new cell with your mouse. This will lock in the value for that cell.
  • When you are finished editing, be sure to click the “Save” button at the bottom of the page to save all values on that page.
  • Sort the column of data in ascending or descending order by clicking the column heading.
  • Columns of data can be copied and pasted quickly too.

 

Importing/Exporting Spreadsheets and their Data

Export a Spreadsheet to a CSV File

Click on the blue down arrow next to the name of the Spreadsheet and click “Export.” The file will download automatically. This exported file will contain the format and column headers that you’ve configured.

 

Import a CSV File into an Existing Spreadsheet

You can import a CSV file; perhaps one that contains data from another Instance. Be sure to confirm the format (column labels/headers and cell data types) of your import file matches the GideonSoft spreadsheet format. Click on the blue down arrow next to the name of the Spreadsheet and click “Import.”

  • You will be prompted to browse for the file to be imported. If the import does not go in successfully, check for:
    • A mismatch of names or data types.
    • Excel files that contain formulas cannot be imported, they must be “values only”.
  • Click “Import File” to upload the file. A pop-up window will appear indicating you have successfully uploaded the spreadsheet.
