Merging and Splitting User Accounts

Sometimes a person may have been entered into the system more than once (e.g. a new user account was created instead of importing one from another Instance). This tool lets you merge, or re-associate, a member of this Instance with a different ‘global’ user account (i.e. merge accounts and data). Other times, there may be two people with the same name, but data has been collected using a single account by mistake. In this case, you may need to split a single account into two separate user accounts.

 

From the Instance homepage, select “People” … “Manage” … “Merge or Split User Accounts.”

 

To re-associate, or merge, multiple user accounts into a single user account:

  • “Choose user account to correct” … Select a Person (i.e. the ‘duplicate’) you would like to merge into another account. Click “Next.”
  • “Merge/Split Options” … The selected Person may be a member of multiple Instances.
    • Select “Merge multiple user accounts into an existing single user account”.
    • Select the Person/Instance in which the duplicate account is a member.
    • Click “Next”.
  • “Select Global User Account to Merge With” … Select the target/destination global user account from the list of all user accounts in the Organization (This list filters out People who are already associated with other members of the Instances you selected to prevent duplicate associations in one Instance).
  • Click “Next”.
  • A confirmation screen will display the intended changes. Click “Finish”.

 

To split a single user account into separate user accounts:

  • “Choose user account to correct” … Select the account you would like to split. Click “Next”.
  • “Merge/Split Options” …
    • Select “Split a single user account into new, separate user accounts”.
    • Select the Person in the current Instance (the one that needs to be split off).
    • Click “Next”.
  • “New User Details” … Provide a unique Username (you can also enter an email address for easy recall) and Global Identifier. All additional global information from the old global person, such as first name, last name, etc. will be copied to the new global person that you create here. Click “Next”.
  • A confirmation screen will display the intended changes. Click “Finish”.
