Report Design: Group Report (Content and Design)

Once a report’s availability and access is set up, you can organize the content and display of the report itself. The editing space includes the Report body workspace on the left and the Report Settings panel on the right.

General Options

  • Report Title … displays on the Reports page, and in the Report Header
  • (Optional) Subtitle … displays on the Report Header, under the title
  • You can change the header text and background color by using the Text Color and Background Color selectors.
  • Show people from the following roles … This defines which people are displayed in the list, but also sets the “Showing” drop down list options.
    • Select one or more Roles; if none are selected, all Roles will be included.
  • Default Role … if at least one Role is selected in the above drop down, this sets the default Role that is displayed when the report is first run.
  • Report Link … if enabled, this makes each person’s name link to another report
    • Select a target report from the drop down.
    • (Optional) Enter text displayed as a tooltip over the link.

Data Options

  • Band Count … these are threshold ranges. For each variable, you can define two to five bands, each having a different color for quickly and clearly viewing how multiple people are performing.
  • For each Band…
    • Set the Text and Background colors using the color selectors.
    • Default value … working from low to high, enter a value for the low end cutoff for that band (i.e. a value above that threshold will change color; anything below that value will not).
    • For example, to display values ranging from zero to five using three bands, you could set them to:
      • Band 1: red, default value = empty (or zero)
      • Band 2: yellow, default value = 2.5
      • Band 3: green, default value = 4
      • As a result, values less than 2.5 would display as red, values 2.5 or greater but less than 4 would display as yellow, and values 4 or greater would display as green.
  • Variables are selected and ordered by expanding the Variables panel.
    • Score and Descriptive variables can be selected.
    • The variable label will be displayed as the column header, unless you change the text.
    • The value of each cell will not be displayed by default. You can display them by clicking the eyeball icon (it will turn blue when set to display).
    • You can Override a variable’s band values in this selection panel by checking the box and entering different values.
    • You can also change the direction of the rating scale.
      • The default direction is “Asc”, or Ascending, which simply means higher is better. For a timed run, where a lower value is better, you’d check “Desc”, or Descending.
      • If all variables use the same scale and direction, one set of band values is all that’s needed.
      • If the variables use different scales, you would override the band values on the variable selection screen.
      • If you need to change the direction for a variable, you must also override band values (and enter thresholds in the appropriate direction).
      • Note: Changing direction of a score variable via variable manager does not affect the display in the Group report.
    • You can delete by clicking the trash can icon.
    • You can re-order the variables (columns) by using the blue up/down arrows to the right.
  • Enable Variable Selection … as an alternative, you can simply enable the viewer to select which variables they wish to reference.
  • Calculate Overall Score for People … this option essentially takes an average of all the displayed variables, and applies the band coloring to the person’s name.
  • Display Comments … to provide additional context.
    • If selected, click “Choose” to select Evaluation variables.
      • Select an evaluation variable.
      • Under “Display” where “Descriptive” is selected, you must enter the descriptive value referenced by the Survey or Observation used for input; this is frequently “Comment”. (Contact your GideonSoft administrator to confirm).
      • Click “Add Variable”.
  • Empty Data Handling … provides an option for cells with no data.
    • Text … enter your custom text, or leave it as “–”.
    • Choose the Text and Background Color using the color selectors.

Note: When the report is displayed/run, you can click on variable (column header) to see min, max, mean, and sort order.
