Managing People (Advanced Options)

GideonSoft offers the following tools to manage multiple people at once. Depending on which level you’re at (Module or Instance) the tools have different functions:

 

Assignments

Roles

Roles let you organize your people based on who they are in your organization, and what they should be able to do in this app.

  • Module: Configure Roles for the template that will be included in every newly created Instance, as well as assign Module level users.
  • Instance: Configure Roles for the current Instance only, and assign Instance level users to those Roles.

Role Cluster Assignments

(Module only) You can assign people to Role Clusters, which are designed to span multiple Modules.

Groups

Groups let you further organize your people. This is useful for quickly filtering and locating people when conducting a survey or behavioral observation.

  • Module: Configure Groups for the template that will be included in every newly created Instance.
  • Instance: Configure Groups for the current Instance only, and then create Teams within those Groups; then assign people to Teams.

Status

Here, you can manage the statuses you need available throughout the module. Status types can be either Active and Inactive.
  • Module: Configure new Statuses that will be immediately available in all Instances.
  • Instance: Update assigned Status for multiple individuals at once.

Job Manager

Where the Continual Progress Review (CPR) process begins. Create and edit Jobs to be used as templates for Positions.

Position Manager

(Instance only) Turn a Job into a unique Position designed to connect a Supervisor to an Employee. The Supervisor can use the Position Manager to modify Responsibilities for this Employee, schedule future meetings, and set reminders.

Import 360 Relationships

(Instance only) You can assign 360° relationships using a spreadsheet. Two files are available for download to assist in the process: a template Excel file and a CSV with the Instance roster.
You only have to enter 1 side of the relationship in the sheet. For each relationship, enter:

  • The person’s Identifier … If you’re not sure, you can find this in the CSV roster file.
  • Relationship … Select Supervisor, Subordinate, Peer or Other.
  • The Identifier of the Related Person… This can also be found in the CSV roster file.

Enter 1 relationship per line. Upon import, both people will have the relationship added.

Note: Uploading a spreadsheet will clear existing relationships of the same types

 

 

People Tools

Merge or Split User Accounts

This utility can merge multiple user accounts into a single user account, or split a single user account into separate user accounts. From either Module or Instance, this tool works the same.

Roster Transport

This is used for standalone environments only. You can use this tool to quickly import and export people and their properties from one computer to another.

  • Module: Exports all people assigned at the Module level.
  • Instance: Exports all people assigned at the Instance level.

Manage People Descriptives

Descriptives are additional pieces of information that you can capture about a person.

  • Module: Configure Descriptives that will be available in every Instance created after
  • Instance: Configure Descriptives for this Instance only, view/enter descriptive data

View Goals Report

(Instance only) Displays information about goals for people in this Instance.
