Creating Roles

Roles can be created and assigned at the Module or Instance level. For Module or Instance level roles (e.g., roles tied to Report viewer or Data viewer permission sets), they can be assigned to access the module, the instance or both levels. In general, it is best to keep roles consistent across instances for analytical purposes.

 

To create a new role in the Module or Instance, from the homepage select “People”  “Manage” “Roles”.

  • Click “New Role”
    • Enter the name of the Role (ex. Student)
    • Select what type of role it will be:
      • Observed (data will be collected on people in this role)
      • Observer (people in this role will be collecting and inputting data about others)
      • Both
      • Neither (this could be an administrative role)
    • Select one (or more) permission sets from the dropdown menu (Note: If you select two permission sets, the role will be a combination of the permission sets, granting the highest level of privileges from the combination). Click “OK”.
    • Select whether the permission set has a parent role. Parent roles allow you to break down a group of people into multiple subsets, where Parent role is the highest role for that group of people. For example, Candidate may be a parent role of Officer and Enlisted. If someone is given an officer role, then they inherit the parent role of Candidate. This is useful when roles need to be differentiated or view different things within GideonSoft. (if the parent and child roles have different permission sets, the user will have the combined permissions)
  • To edit a role, click on the role itself
  • To edit, click the pencil icon.
  • To delete, click the X
  • To assign people to the Role, click the person button/icon.
