Permission Set Detail

Before assigning people to Roles, each Role must be created with a Role name unique to your organization, and at least one permission set applied. GideonSoft includes the following (built in) permission sets that determine what a person can and cannot access.

 

End User/User Input

Basic User

  • Only functions in the Instance(s) of which they are a member.
  • A Basic User only has access to fill out Surveys, record behaviors in Observation Events, and run Reports that are assigned to them.
  • They can access their own profile only, and edit descriptives made available for them to edit.
  • They can view details and activity for their own Position only. They can add and edit Commitments.
  • They can set Goals and record progress toward goals.
  • They cannot access Spreadsheets or data import/export tools.
  • This permission set would make sense for a candidate or student.

 

Power User

  • Only functions in the Instance(s) of which they are a member.
  • A Power User can do everything a Basic User can do, plus:
    • Enter or edit data in Spreadsheets that are assigned to them.
    • Access data import and export tools, and can view variables in Variable Manager.
    • View and manage Basic Users’ profiles.
    • View others’ Positions (but not activity), and add or edit Responsibilities and Commitments. On their own Position, they can add or edit Commitments only.
  • This permission set might make sense for an instructor or coach.

 

Data Entry

  • Only functions in the Instance(s) of which they are a member.
  • Essentially, this permission set is reserved for users that will be responsible for inputting data for other people. A Data Entry user can:
    • Complete surveys and record behaviors on behalf of someone else.
    • Input data into Spreadsheets.
    • View details and activity for their own Position only, and can add or edit Commitments.
  • It is very important the Overseer and/or Proctor closely monitor Data Entry users because they are given authority to represent other users in the system.

 

Power Data Entry

  • Only functions in the Instance(s) of which they are a member.
  • The Power Data Entry user can do what a Data Entry user can do, plus:
    • Use the Scheduler to make Surveys, Events and Reports active or inactive.
    • View Survey and Observations history, as well as edit or delete sessions.
    • Assign groups or change status for people in the Instance.
    • View variables in Variable Manager and view data in Data points.
    • Access basic data import and export tools.
    • View details and activity for their own Position and add or edit Commitments
    • Only view Responsibilities for others’ Positions.
  • It is very important administrative users closely monitor Power Data Entry users because they are given authority to represent other users in the system.

 

Research and Oversight

Report Viewer

  • Functions in the Module(s) or Instance(s) in which they are assigned.
  • Lets users have access to view reports but nothing else.
  • They will not show up in the roster, surveys, spreadsheets, etc.
  • By default, they can see ALL reports (unless they are specifically denied access).
  • Report Viewers are usually high ranking individuals (leadership) in an organization.
  • They can view details and activity for their own Position and add or edit Commitments. They can only view Responsibilities for others’ Positions.

Data Viewer

  • Functions in the Module(s) or Instance(s) in which they are assigned.
  • Lets users have access to view data and reports but nothing else.
  • They will not show up in the roster, surveys, spreadsheets, etc.
  • By default, they can view ALL reports (unless they are specifically denied access), view and export the data, but they cannot change anything.
  • A Data Viewer can only export spreadsheets.
  • Data Viewers are usually researchers, data warehouse administrators, or data scientists within an organization.
  • They can view details and activity for their own Position and add or edit Commitments. They can only view Responsibilities for others’ Positions.

 

Administration

Proctor

  • Functions in the Instance(s) in which they are assigned.
  • A Proctor has access to everything in an Instance without the ability to configure or delete information, including:
    • Use the Scheduler.
    • Shadow (impersonate) other users to complete Surveys or record Observations.
    • View Survey and Observation history, and delete sessions.
    • Create, edit, remove or enter data in Spreadsheets.
    • Assign Reports.
    • View variables in Variable Manager and data in Data Points. A Proctor can export but not delete data.
    • Add or remove people, assign them to Roles or Groups, and change their Status.
    • Add/edit others’ Positions (not the activity), and add or edit Responsibilities and Commitments. On their own Position, they can add or edit Commitments. Proctors can perform these actions from a profile page or the Position Manager.

 

Data Proctor

  • Functions in the Instance(s) in which they are assigned.
  • A Data Proctor has access to data and date related functionality in an Instance without the ability to configure or delete information, including:
    • Use the Scheduler.
    • Shadow (impersonate) other users to complete Surveys or record Observations.
    • View Survey and Observation history, and delete sessions.
    • Create, edit, remove or enter data in Spreadsheets.
    • Assign Reports.
    • View variables in Variable Manager and data in Data Points. A Data Proctor can export but not delete data.
    • Edit a person’s data and change their Status.
    • View others’ Positions (not the activity), and add or edit Responsibilities and Commitments. On their own Position, they can add or edit Commitments. Proctors can perform these actions from a profile page or the Position Manager.

People Proctor

  • Functions in the Instance(s) in which they are assigned.
  • A People Proctor has access to people and people related functionality in an Instance without the ability to configure or delete information, including:
    • Use the Scheduler.
    • View Survey and Observation history, and delete sessions.
    • Assign Reports.
    • Add or remove people, assign them to Roles or Groups, and change their Status.
    • View others’ Positions (not the activity), and add or edit Responsibilities and Commitments. On their own Position, they can add or edit Commitments. Proctors can perform these actions from a profile page or the Position Manager.

 

Overseer

  • Functions in the Module(s) in which they are assigned.
  • An Overseer has access to the Module and Instances, but is not a “member” of the Instance (will not show up in the roster, surveys, spreadsheet, etc.).
  • Overseers have the ability to do most anything at the Module level and lower (create, review, update, and delete most everything). The Overseer can do everything a Proctor can do, plus:
    • Create a new Instance, or close, rename, or edit an existing one.
    • Design or edit Observation Events.
    • Edit or delete data in Data Points.
    • Create or edit Roles and Groups, and Merge or Split User accounts.
    • Create and edit Jobs

 

Overlord

  • Functions in the Module(s) in which they are assigned.
  • An Overlord has access to the Module and Instances, but is not a “member” of the Instance (will not show up in the roster, surveys, spreadsheet, etc.).
  • Overlords have the ability to do most anything at the Module level and lower (create, review, update, and delete most everything). The Overlord can do everything an Overseer can do, plus:
    • Design Surveys and Reports.
    • Create, edit or delete variables in Variable Manager.

 

Admin

  • An Admin can do everything an Overlord can do, but also has access to Organization settings.
