Using Spreadsheets

Spreadsheets are not unlike Excel spreadsheets, so they allow you to input data in a tabular format. They can be used for administrative or demographic information, or one time input of score data.

 

The Spreadsheets page lists all existing spreadsheets, and you can filter and sort the list and customize the display:

  • Type in the Search field (toward the top right).
  • Arrange and resize columns (drag and drop).
  • Use the ‘Toggle column search’ icon, and search/filter by column.
  • Use the ‘Toggle grouping panel’ icon, and then drag and drop one or more column headers to group reports in the list.

 

Once the list is filtered as desired, several actions are available:

  • To open a spreadsheet and enter/edit the data it contains, either click on the sheet name or choose Open from the action menu (3 dots on the right). 
  • Additional actions available (depending on how GideonSoft has been configured) from the action menu include Import (from an external file) or Export (to save as a csv file including the sheet’s format and data).

 

View/Edit the Content of a Spreadsheet 

Once opened, you can edit any or all fields in this view with the exception of the column labeled “Identifiers” (and any other grayed out column).

 

  • Click on a ‘cell’ in a column to edit that particular data field or variable. When you finish with that cell, hit <ENTER> or <TAB> on your keyboard, or select a new cell with your mouse. This will lock in the value for that cell. 
  • When you are finished editing, be sure to click the “Save” button at the bottom of the page to save all values on that page. 
  • Sort the column of data in ascending or descending order by clicking the column heading.
  • Columns of data can be copied and pasted quickly too.

 

Import a CSV File into an Existing Spreadsheet

You can import a CSV file; perhaps one that contains data from another GideonSoft location. Be sure to confirm the format (column labels/headers and cell data types) of your import file matches the target GideonSoft spreadsheet format.

 

Click on the action menu (3 dots on the right) of the spreadsheet and select ‘Import’.

  • You will be prompted to browse for the file to be imported. 
  • If the import does not go in successfully, check for:
    • A mismatch of names or data types.
    • Excel files that contain formulas cannot be imported, they must be “values only”.
  • Click “Import File” to upload the file. A pop-up window will appear indicating you have successfully uploaded the spreadsheet.
