You don’t need to know how to write code to design reports. With appropriate permissions, anyone can design interactive reports in GideonSoft. This is possible via a drag and drop style interface, with several different report types available. Reports can be assigned with the ability to allow or restrict access based on specific users or multiple Roles, and Reports can be scheduled so they will only be available when they are needed.
From the Module homepage, go to “Reports” and click the blue “Design” button.
- Select “Design Module-Level Report” to design a report to be used at the Module level. Entering this mode will display only Module level reports.
- Select “Design for Instance Report” for a report to be used at the Instance level. Entering this mode will only display Instance level reports that will be available in each Instance created.
From the Instance homepage, go to “Reports” and click the blue “Design” button. Entering Design mode here will display reports available only in the current Instance.
The Report Design Page
The Report Design page lists all existing reports, and you can filter and sort the list and customize the display:
- Type in the Search field (toward the top right).
- Arrange and resize columns (drag and drop).
- Use the ‘Column Chooser’ icon at the top of the table to choose which columns to see. The only required column to show is Name, which is on the left in a fixed format. This allows you to scroll horizontally and still see the report name.
- Use the ‘Toggle column search’ icon, and search/filter by column.
- Use the ‘Toggle grouping panel’ icon, and then drag and drop one or more column headers to group reports in the list.
Once the list is filtered as desired, several actions are available:
- To edit a report, either click on the report name or choose Edit from the action menu. (See Report Design 5: Overlays and Text Replacements).
- On the far right of each row, the following actions are available (depending on your permissions), by clicking the 3 dots:
- Edit … (See Report Design 5: Overlays and Text Replacements ).
- Preview … Opens a preview in a new tab.
- Rename
- Assignments … Use this to allow or prevent access to this report.
- Settings … Allows you to enable/disable the report, as well as adjust the scheduling options.
- Delete … You’ll be prompted to confirm.
Report Types
In design mode, the dark blue icon indicates what type of report it is:
- Single Person … Individual reports on multiple people can be included in a sequence of reports:
- Custom Person … (HTML5 icon) Available at the Instance level, this is a custom, interactive report about a single person, with a variety of visualization options (such as Bulletin, Data Grid, Detail Data Grid, Pivot Grid, Arc Score, Bar Chart, Liquid Fill, Gauge, 360 grid) for the selected variables. - Custom Person (Advanced) … This is a highly customizable report type that only GideonSoft administrators can create, but Overlords can import this report type, rename, delete, edit basic report options and manage subscriptions. See Report Design: Custom Person (Advanced) report
- Portfolio … (book with a person icon) This is a Module level report that combines reports from multiple Instances, and offers customizable header and title layout options. See Report Design: Portfolio Report (Content and Design)
- Multiple People (Line chart icon) … an interactive report about multiple people based on multiple variables:
- Group … Displays, in a grid format, how multiple people (in a selected Role) are performing based on either pre-configured or viewer-selected variables. Can also display the comments from an evaluation variable. Variable Type options for the columns are Scores and Person Descriptives. See Report Design: Group Report (Content and Design)
- Custom Group … This report type uses the same design interface as the Custom Person report, and includes visualization cards for Behavior List, Bulletin, Data Grid, Detail Data Grid, Pivot Grid, Arc Score, Bar Chart, Pic Chart, Liquid Fill and Gauge. You can also bundle group reports into a single PDF with bookmarks to the individual team reports. See Report Design: Custom Group Report (Content and Design)
- Custom Group (Advanced) … This is a highly customizable report type that only GideonSoft administrators can create, but Overlords can import this report type, rename, delete, edit basic report options and manage subscriptions. See Report Design: Custom Group (Advanced) report
- Band … Similar to the Group Report, but based on viewer-selected variables, it walks through 3 steps in which the viewer can adjust thresholds and view a graph of the people within performance bands. It can also be configured for used as a voting tool. Variable Type option for the columns is Scores. See Report Design: Band Report (Content and Design)
- Survey Report … This report type is designed specifically to display aggregated or individual responses from a survey. Based on Survey Analytics, but more configuration options are available. See Report Design: Survey Reports
- 3rd Party (Bar chart icon) … This lets you leverage data views, so you can export any data to be used by a 3rd party visualization service. (This is unavailable by default. If you need access to this type, contact your administrator.) See Report Design: Third Party Report (Display Options)
- SSRS … This essentially sets up a link to a Microsoft SQL Server Reporting Services (SSRS) file, along with parameter settings, if any.
Creating a New Report
This is the first step for all report types.
- Active … this displays the report’s Publish status; when first adding a report, this will be off.
- Report Name … This text will be displayed on the Reports page and/or Profile page, so it should be logical and clear what the report contains.
- Who can access this report? Select Roles and/or Permission Sets for people that should be allowed to view this report.
- Report Category (optional)… For internal use. Can be used to filter and organize reports in the list on the report design page.
- Report Cluster (optional)… Used to group reports together so they are displayed under a single name in the list on the report design page.
- Tags (optional)… For internal use. Can be used to filter and organize reports in the list on the report design page. Add tags using commas, semi-colons or new lines or select from existing tags.
- Notes (optional) … For internal use. Describe this report so you will remember why it was created.
- Only show people whose value from (optional) … Filter the included people based on a score value.
- Select Score … select one from the list.
- Operator … set to ‘Equals’, ‘Greater than’, ‘Less than’, ‘Not equal to’, ‘Greater than or equal to’, or ‘Less than or equal to’
- Enter value … to set the condition.
- Choose where the report listing is shown: …
- Default location … Displays the report on the Reports page.
- Show on profiles for the following roles: … Select one or more Roles for people whose Profile should display the report.
- Show in CPR position profiles
- Hide from main report list … If either ‘Show on profiles’ or ‘Show in CPR position profile’ is select, this option becomes available.
- Start Date (optional)… Schedule the report to become active a specified number of days after the Instance starts.
- End Date (optional)… Schedule it to become inactive a specified number of days after the Instance Starts.
- Click “Save and start designing!”.
