Report Design 3: Scheduling and Subscriptions

You can prepare reports to be run on a schedule and sent to one or more individuals. If you want to add an additional level of scheduling nuance, you can use a data-driven subscription so reports can be sent (or not) based on data entry or a change in people’s status, for example. Click ‘New Subscription’ or ‘New Data-driven Subscription’ to begin.

 

Subscription Details

Name … Label for easy reference.

Active … Default is on. If off, the report will not send, but the settings will be retained.

 

Data Driven Options

Overlords and Admins can view these options, but cannot edit them. Contact your GideonSoft administrator to set this up or modify this section.

 

Report Delivery Options

  • Who do you want to receive this report? … Select one:
    • Specific email address(es) … Enter however many addresses needed; Separate emails by a semi-colon.
    • Users in Role(s) … Select one or more roles from the drop down list that appears.
  • Email Subject (optional) and Email body (optional) … To customize if desired. In either field, you can reference the following items:
    • @ReportName
    • @ExecutionTime
    • @InstanceName
    • @ModuleName
    • @OrganizationName
    • ‘Pseudocode HTML’ like [b]bold text[/b], [br], etc. can be used to further customize the message.

 

Report Processing Options

If the report has parameters (visible or not), what is entered here will override any default settings in the report.

  • Target people from the following roles … Select one or more.
  • Target people with the following status … Select one.
  • All / Active / Inactive … You can use this to select a status type (e.g. all Active statuses only)
  • Target specific person or object … For Custom Person report subscriptions, you can enter the identifier of a specific person or object as the target.

 

Scheduling Options

  • Select Interval …
    • Daily … Select one or more day of the week.
    • Weekly … Select which day of the week and what time of day.
    • Monthly … Options include:
      • On week of month … Select week, and day, options from the drop downs.
      • On calendar day … Select choose day (1 to 28).
  • Choose time … Select which hour of the day.
  • Subscription Start … When to begin sending this report.
  • Subscription End … When to stop sending; leave empty for continuous sends.
  • Click Save.
