From the Instance homepage, you can click the big blue ‘Surveys’ button (that tells you how many are available to you). Administrators can also schedule a Survey to appear on the Timeline, so when you first sign in to GideonSoft, there will be a notice with a link directly to the Survey.
The initial Surveys page is a split screen, with all the surveys you can access on the left side. For each survey, sessions are displayed (if any).
- The History down arrow displays details for all sessions, including tags (pre-questions), last access date, progress and status. You can view analytics for, or edit or delete any item in the history.
- Selecting a survey cluster will display the surveys included in the cluster. You can return to the main list by clicking the Back button.
- Selecting a survey will either launch the survey directly, or if a target selection is required, present a list of available targets. This allows you to see how many targets are left to complete (in the case of a single-session survey).
Completing a Survey on an Individual or a Team
Use Previous Session … If you’ve completed this survey about the selected target before, you may be asked if you would like to load the most recent session. This will load the previous responses, which you can then edit.
Once you have opened the selected survey, you can fill out the ratings and comments on the individual(s).
- If a comment bubble icon is displayed, click it to add a comment.
- Some ratings and comments may be required before you can move forward or submit the survey. These are indicated by a *.
- If applicable, you may be able to view the descriptions for the scale items by hovering over the scale label. A popup dialogue box will appear with the anchor (description/value).
- There are navigation buttons at the bottom of the survey for you to use.
- If the survey was set up as a Forward-only survey, you won’t be able to navigate to previous pages and won’t be able to continue the survey later.
- If there’s a Continue Later button, you can save a draft of your session and finish it later.
- If there’s a link showing what page you’re on (e.g. Page 1 of 10), you can click it to see a table of contents. The popup identifies which questions have been answered, and which ones are required.
- If Kiosk mode is enabled, a gear icon will be available at the top, which is used to enter or exit kiosk mode.
- On the web, it attempts to enter Full Screen mode (which on certain browsers works slightly differently).
- In the mobile app, you will be asked if you want to enable kiosk mode.
- All menus for navigation are removed.
- To exit kiosk mode, you will need to provide your GideonSoft password. You’ll be prompted to confirm you wish to exit the survey.
- If the survey has multiple pages, you may select the Back button to return to previously completed pages.
- You may also select the Exit Survey button to either delete the survey or continue working on the survey at a later time.
- Changing the timestamp … At the top, by the name of the survey, you can click the gear icon (with a down arrow) to change the timestamp of this survey. This is useful for ensuring that data is entered correctly for the right date/time.
- To save the survey…
- If you know you have multiple people/targets to complete this survey about, before saving, you can check the Fill Out Another Target box. This setting will be remembered as long as it’s used. When the final target is shown, it’ll be unchecked. Otherwise, you have to uncheck the box to finish.
- Click Save to save and return to the list of surveys.
Complete a Survey in Split-screen Mode
Split-screen surveys allow you to view a report and complete a survey simultaneously. Once you have selected a survey, you will either be taken directly to the survey and associated report, or it will prompt you to pick a person if the survey has a target group.
- If a split-screen survey has multiple reports associated with it, click the report icon (white “chart” on blue button at the bottom left) to navigate between the reports.
Completing a Survey on Behalf of Someone Else (Shadow)
With Overseer (or Data Entry) permissions, you may need to complete a survey on behalf of someone else (i.e. shadow). To do this:
- Select “Surveys” from the menu
- Click on the “Shadow someone else…” button. A dropdown menu will appear.
- Select the person you wish to shadow. You will be presented with a list of surveys this person has access to. The survey will be recorded as the user you select.
