Organization Settings – User Account Management

The available options in this category include…

 

User Display Format

People in the organization should be displayed using: Full Name / Identifier.

This setting determines the default format for viewing/displaying people in lists throughout GideonSoft.

 

User Sign In Identification

Users may sign in using their username / CAC / username or CAC.

Use this option to set how you would like people to sign in to this system.

 

Forgot Password

The Forgot Password feature should be enabled / disabled.

When enabled, users will be able to reset their password through their email address.

 

Push Notifications

Push notifications are On / Off.

When off GideonSoft will not attempt to send mobile users push notifications.

 

Global ID Generation

Require / Allow / Do Not Allow administrators to generate global IDs manually.

GideonSoft can automatically generate a 36-character global ID that can be used to track a person throughout the organization. ‘Require’ forces IDs to be manually created to make it easier (human-readable) to identify people based on their global IDs.

 

General Global Variable Format

Force / Do not force a SSN format for general global variables.

The General Global Variable can be used for in-processing and functions as a lookup value. These variables are encrypted.

 

User Account Conversion

When people get moved into new Instances from persistent Modules, their record should be: Archived / Unchanged

When archiving is ON, the people and data will remain in the Module in an archived state. You will need to apply the archive filter to display them. You can also move a person out of the archive and if they ever get moved back in the Module, they will be moved out of the archive.

 

Restricted Users

Restore access to users that have been restricted.

 

Global Profile Field Setup

Customize the standard set of fields as well as create unlimited custom fields to create your database. See Organization – People/Profile Field Setup

 

Global Profile Activity Types

Set up the types for date-based activities. All existing activity types are displayed, along with associated activity counts and permissions for each.

To add a new type, click New Activity Type. 

  • Enter a type name.
  • Select one or more permission sets/role clusters to manage activities.
  • Select one or more permission sets/role clusters to only view activities.
  • Click Save.

Edit or delete an existing Activity type by expanding it and clicking the appropriate link.

 

Global Profile Note Types

Set up the types for note organization. All existing Note types are displayed, along with associated note counts and permissions for each.

To add a new type, click New Note Type. 

  • Enter a type name.
  • Select one or more permission sets/role clusters to manage notes.
  • Select one or more permission sets/role clusters to only view notes.
  • Click Save.

Edit or delete an existing Note type by expanding it and clicking the appropriate link.

 

Global Profile Attachment Types

Set up the types for file organization. All existing attachment types are displayed, along with associated file counts and permissions for each.

To add a new type, click New Attachment Type. 

  • Enter a type name.
  • Select one or more permission sets/role clusters to manage files.
  • Select one or more permission sets/role clusters to only view files.
  • Click Save.

Edit or delete an existing Attachment type by expanding it and clicking the appropriate link.

 

Custom Grouping Icons

Set up the custom grouping icons for the entire organization. You can modify labels and icons for the built-in groupings as well as add up to 10 additional custom icons. Groupings are used to group fields together in the person profile form. Existing/default grouping types will be listed, in order, so you can quickly see icons, labels, and associated fields. Inactive/unused groupings will be listed at the bottom and identified as such.

To edit a grouping type, click the 3 dots at the end of the line. You can:

  • Edit the Label … limit to 16 characters.
  • Change the icon (and rotate or resize it)… Icons will be resized to 20×20 pixels. Images that support transparency are recommended (.png, .gif). If transparency is not available, use a white background. The preview above shows the actual size the icon will be on screen. The default icons use the hex color: #3C444E. 
  • Delete it (you will be prompted to confirm).
  • If you edit a default icon, you can reset it individually.

You can also restore all defaults, by clicking ‘Restore Defaults’.

 

Setup Social Media Links

Choose which social media links to make available for users.

 

Permission Set Assignment

You can assign people to one or more of the three Organization Permission Sets. These Permission Sets apply to all Modules and Instances.

 

Permission Set Configuration

View built in permission sets, and create/manage up to two custom permission sets.

 

Role Clusters Assignment

Manage Role Clusters and assigned people. Role Clusters are used to more easily assign one or more users to Roles in multiple Modules.
